Bulk Actions

What are bulk actions?
Bulk actions let you apply the same change to multiple items at once (e.g. multiple properties, vendors, contracts, users, or tasks). You select the items, choose an action, and the change is applied to all selected items.

Who can use bulk actions?
Bulk actions are available only when your organization has the bulk actions feature enabled.
Bulk actions are only available to admin users.
Whether you see the option to select items and use bulk actions is controlled by your organization’s settings. If you don’t see checkboxes on a list, bulk actions are either not enabled for your organization or not available for your role.
Note: On phones and other small screens, list selection and the bulk actions bar are not shown; use a tablet or computer to use bulk actions.
Where can I use bulk actions?
You can use bulk actions on these lists:

Some options (e.g. Restriction, Archive status, Contract type, Department) only appear if your organization has the related feature turned on.
What can I do with bulk actions?
🏡 Properties:
- Edit Labels – Add labels to, remove labels from, or clear all labels on the selected properties.
- Edit Regional Managers – Add, remove, or clear regional managers for the selected properties.
- Edit Community Managers – Add, remove, or clear community managers for the selected properties.
🛍️ Vendors:
- Edit Labels – Add labels to, remove labels from, or clear all labels on the selected vendors.
- Edit Department – Set the department for the selected vendors (if your organization uses departments).
📝 Contracts:
- Download Files – Download a single zip file containing the files for all selected contracts. No drawer; the download starts right away.
- Change Restriction – Mark selected contracts as restricted or not restricted (if your organization uses restricted contracts).
- Change Archive Status – Archive or unarchive the selected contracts (if your organization uses archiving).
- Edit Labels – Add labels to, remove labels from, or clear all labels on the selected contracts.
- Edit Contract Type – Set the contract type for the selected contracts (if your organization uses contract types).
👥 Users (Settings → Users):
- Change Role – Set the role (e.g. Administrator, Editor) for the selected users.
- Change Status – Set the selected users to active or inactive.
☑️ Tasks:
- Change Status – Set the status (e.g. Complete, Incomplete) for the selected tasks.
How do I use bulk actions?
1. Open the right list
Go to the list you want to work with: Properties, Vendors, Contracts, Settings → Users, or Tasks (or, for vendors, the vendors list on a specific property).
2. Select items
- Use the checkboxes on the left of each row to select the items you want to update.
- You can select one or many. The bar at the bottom appears as soon as at least one item is selected.
- On smaller screens, some actions are under “See More” (⋯) in the bar.
3. Choose an action
- In the bar at the bottom, you’ll see “X Selected” and the available actions (e.g. “Edit Labels”, “Download Files”).
- Click the action you want.
4. Complete the action
- Download Files (contracts): A zip file downloads automatically. Your selection is cleared afterward.
- All other actions: A side panel (drawer) opens.
In the drawer:
- For actions like Labels, Regional Managers, and Community Managers, you first choose:
- Add to existing – Add the chosen labels or people to what’s already there.
- Remove from existing – Remove the chosen labels or people.
- Clear all – Remove all labels or all people in that role from the selected items.
- Then pick the labels or people (or other options, depending on the action), and click Save or Apply.
5. After saving
- The panel closes, your selection is cleared, and the list refreshes so you see the updated data.
- You’ll see a message confirming how many items were updated.
To cancel without saving, close the panel or click Cancel. To change your selection, click the ✕ in the bulk actions bar to clear the selection, then select different items if you want.
Tips
- Clear selection: Use the ✕ button on the right side of the bulk actions bar to clear all selections and hide the bar.
- Fewer buttons on small screens: On narrow windows, only some actions appear as buttons; the rest are under “See More”.
- One action at a time: Apply one type of action (e.g. “Edit Labels”) for the current selection, then you can select again and run another action if needed.
