Adding Contracts


Overview

This article outlines the different ways to upload contracts in Pivott. Whether you're sending files via email, uploading documents directly in the app or using integrated tools like DocuSign or cloud storage, you'll find step-by-step instructions to help you get started.


Direct Upload via Drop Zone™

Drop Zone™ makes it easy to upload contracts by simply dragging and dropping files into Pivott. You can use Drop Zone™ on the Contracts, Vendors, or Properties pages.

Before You Begin

Open your device's File Explorer and locate the contract file(s) you want to upload.

On the Vendors Page

  1. In Pivott, go to Vendors from the Home Page.
  2. Select the Vendor the contract applies to.
  3. Go to the Contracts tab.
  4. Drag and drop the contract file(s) onto the Contracts tab.
  5. Pivott's AI Auto-Processing will extract and store the contract data.

On the Properties Page

  1. In Pivott, navigate to Properties from the Home Page.
  2. Select the Property the contract applies to.
  3. Go to the Contracts tab.
  4. Drag and drop the contract file(s) onto the Contracts tab.
  5. Pivott's AI Auto-Processing will handle the rest.

AI Auto-Processing will take time as each contract is also reviewed by trained Pivott staff, however, all contracts will be processed within one business day.

On the Contracts Page

You can also drag and drop files on the Contracts page, but uploading through a vendor or property page is more efficient! Uploading on the Contracts page may delay processing, since it provides less information upfront.


Uploading a Contract File

  1. Navigate to Contracts on the Home Page and click Add Contract.

  1. Click Browse Files.
  2. Upload the contract file from your device.

  1. Click Process Automatically. Pivott's AI Auto-Processing feature will collect and store the data from the contract.

Manually Entering a Contract

  1. Click Enter Manually.
  2. Enter the Contract Details:
    • Enter the Contract name.
    • Assign an existing Vendor from the drop-down list or create a new one by selecting Create A New Vendor.
    • Add the contract date range.
    • Click the downward arrow to add optional Additional Details:
      • Assign a Parent Contract using the drop-down list.
      • Attach an existing Label using the search or type and hit enter to Create A New Label.
      • Add Notes in the text box.

  1. Select the Properties the contract applies to:
    • Search for properties by Property Name using the search function.
    • Filter by City, State/Province, or Label.
    • Add A New Property by clicking Add Property.

  1. Add a Clause or Skip Step if not applicable.
    • To enter a new clause, click Add Clause:
      • Type a Title.
      • Type a Description.
      • Click Save Clause.
        • Click the dropdown to Duplicate Entry or Add Another Entry.

  1. Add Spend or Skip Step if not applicable.
    • To enter a new spend, click Add Spend :
      • Type to search for a Product and Service or to Create a New Product.
      • Type to assign Properties.
      • Select Duration: recurring or one-time.
      • Type Dates: enter Start and End Date (if applicable) or select Use Contract Dates.
      • Type in Cost:
        • Add Frequency.
        • Select Pricing Type using the drop-down list.
        • Type optional Notes.
        • Click Save Spend.
          • Click the downward arrow to Duplicate Entry or Add Another Entry.

  1. Add a Reminder or click Done if not applicable.

If the end date of the contract entered is at least 30 days in the future, Pivott will automatically create a default 30-day expiry reminder.

    • To add a new reminder, click Add Reminder:
      • Type a brief Description of the reminder.
      • Set a Date for the reminder to be sent:
        • Set a Reminder Date before or after the contract start or end date, or choose a Specific Date.
        • Click Save Reminder.
            • Click the downward arrow to Duplicate Entry or Add Another Entry.

  1. Visit https://pivott.wetransfer.com/ .
  2. Click Add Files.
  3. Upload the Contract Files or Folder from your device.

Contract Sync

  1. Enable Contract Sync to automate contract importing: Using Contract Sync.

Emailing Contracts

  1. Email contract files directly to your company's Account Manager or to our Contract Importing Email Address: import@pivott.io

DocuSign Integration

Cloud Storage Imports

You can easily import contracts directly from your favorite cloud storage services—like Google Drive, Dropbox, OneDrive, Box, SharePoint, or ShareFile. Just reach out to your Account Manager or email help@pivott.io, and we'll help you get set up!
