Adding Contracts

Uploading a Contract File
- Navigate to Contracts on the Home Page.
- In Contracts, click Add Contract.
- Click Browse Files.
- Upload the contract file from your device.
Processing a Contract Automatically
- Click Process Automatically.
- Pivott's AI auto-processing feature will collect and store the data from the contract.
Auto-processing may take time as each contract is also reviewed by trained Pivott staff, however, all contracts will be processed within one business day.
Manually Entering a Contract
- Click Enter Manually.
- Enter the Contract Details:
- Enter the Contract Name.
- Assign an existing Vendor from the drop-down list or create a new one by selecting Create A New Vendor.
- Add the contract Date Range.
- Click the downward arrow to add optional Additional Details:
- Assign a Parent Contract using the drop-down list.
- Attach an existing Label using the search or type and hit enter to Create A New Label.
- Add Notes in the text box.
- Select the Properties the contract applies to:
- Search for properties by Property Name using the search function.
- Filter by City, State/Province, or Label.
- Add A New Property by clicking Add Property.
- Add a Clause or Skip Step if not applicable.
- To enter a new clause click Add Clause:
- Type a Title.
- Type a Description.
- Click Save Clause.
- Click the downward arrow to Duplicate Entry or Add Another Entry.
- To enter a new clause click Add Clause:
- Add Spend or Skip Step if not applicable.
- To enter new spend click Add Spend :
- Type to search for a Product and Service or to Create a New Product.
- Type to assign Properties.
- Select Duration: recurring or one-time.
- Type Dates: enter Start and End Date (if applicable) or select Use Contract Dates.
- Type in Cost:
- Add Frequency.
- Select Pricing Type using the drop-down list.
- Type optional Notes.
- Click Save Spend.
- Click the downward arrow to Duplicate Entry or Add Another Entry.
- To enter new spend click Add Spend :
- Add a Reminder or click Done if not applicable.
If the end date of the contract entered is at least 30 days in the future, Pivott will automatically create a default 30-day expiry reminder.
- To add a new reminder click Add Reminder:
- Type a brief Description of the reminder.
- Set a Date for the reminder to be sent:
- Set a Reminder Date before or after the contract start or end date or choose a Specific Date.
- Click Save Reminder.
- Click the downward arrow to Duplicate Entry or Add Another Entry.
