Linkable Contracts

Linkable Contracts is an Enterprise feature. Speak to your account manager about enabling it for your organization.

🔗 What are linkable contracts?

A linkable contract can be discovered and self-linked by property-level users in Expected Contracts — even if the contract isn't yet associated with their property.

This is designed for centrally managed contracts — like national vendor MSAs — that apply across many properties and would otherwise require an admin to manually create hundreds of individual associations.

🔍 How can I tell a contract is linkable?

Admins and staff will see an information banner at the top of the contract profile:

"This contract is linkable — properties may associate themselves via Expected Contracts."

Non-admin users will not see this banner, but they will see the contract appear in their Expected Contracts search if their property is not yet associated with it.

🏢 Property users: finding and linking a contract

When a contract is marked Linkable, it appears in Expected Contracts search alongside contracts that are already linked to your property.

  1. Open a property profile and navigate to Expected Contracts.
  2. Open the category drawer where the contract should appear.
  3. Search by contract name or vendor name.
  4. Select the contract from the results. Contracts not yet linked to your property are labelled as available to link.
  5. Confirm.

In one action, Pivott adds your property to the contract's associations and links the contract to the Expected Contracts category you have open.

If you can't find a contract you're looking for, it may not be marked Linkable yet. Contact your admin to have it enabled.

🤝 Locked & linkable together

A contract can be both Locked and Linkable at the same time. This is the recommended setup for centrally managed contracts.

  • Locked ensures no one can edit the contract's details, dates, or associated properties — except admins.
  • Linkable allows property-level users to add their own property to the contract via Expected Contracts.

Self-linking to a Locked contract does not grant any additional edit permissions. You are only able to add your property to the contract. All other Locked Contracts restrictions remain in place.
