How to Run a Lease Audit


Before You Start

Make sure that:

  • Pivott has set up the property for Lease Auditor. Pivott staff handle the forms and control leases, so you don't need to.
  • You have the Admin or Editor role. View + Add users can't upload files or run audits.
  • The property is active. Audits can't run on inactive properties.
  • Your lease documents are PDFs.

Upload the Rent Roll

  1. Open the property and click Lease Auditor.
  2. Click Settings > Rent Roll.
  3. Click Upload New Rent Roll.
  4. Select a CSV, XLS, or XLSX file, then click Next.
  5. In Unit Number, select the column with unit numbers.
  6. If you see Rent Roll Effective Date, enter the rent roll's "As of" date.
  7. Optional: For Resident Name, Lease Begin, and Lease End, select the matching column.
  8. For each rent roll row that has a matching lease field, select the form in Lease Form Type and the field in Field Name in the Lease.
  9. Click Create Rent Roll.

Upload Lease Documents

A batch is a group of lease documents that Lease Auditor audits together.

  1. Click the Files tab.
  2. Click Create New Batch.
  3. Drag your lease PDFs into the batch, or click Browse Files to select them.
  4. Wait until every file shows Uploaded.

Each file in a batch needs a unique name. If two files have the same name, rename one before you upload it.


Run the Audit

  1. On the Files tab, click Run Audit for the batch.
  2. In the Run New Audit window, select the Control Lease Version and Rent Roll Version. Both default to the newest upload.
  3. Optional: In People to Notify, add anyone who should be notified when the audit is complete.
  4. Click Start Audit.

Read the Results

  1. Click the Audits tab.
  2. Click an audit, then click a unit.
  3. Click the Errors & Omissions tab and compare the Rent Roll and Lease values in each row.
  4. Optional: To change the unit's status, select one from the menu at the top right.

To audit updated data, upload a new rent roll version, then click Re-Run Audit on the audit page or on the batch in the Files tab.


Troubleshooting

The Run Audit button is disabled

Hover over Run Audit to see why. The button is disabled if:

  • You don't have the Admin or Editor role.
  • Files in the batch haven't finished uploading and processing.
  • Another audit is already running for the property.

You can't see the forms or control lease settings

Only Pivott staff can access these settings. To request changes, contact your Account Manager.

You don't see the Lease Auditor tab

Lease Auditor isn't turned on for your company yet. Contact your Account Manager.
