Restricted Contracts

Restricted Contracts is an Enterprise feature. Speak to your account manager about enabling it for your organization.


What are restricted contracts?

Sometimes, you may not want all users to have access to sensitive or confidential contracts. For example, some customers don't share details of Master Service Agreements (MSAs) with property-level staff.

Marking a contract as restricted in Pivott means that the files and its contents are only visible and editable to Admin users:

View + Add or Editor users won't be able to see these when they use Pivott or even know they exist as they are completely hidden from view.

Note: Restricted Contracts are different from Locked Contracts. Restricted contracts are hidden from non-admin users entirely. Locked contracts are visible to everyone, but protected from edits.

A contract cannot be both Locked and Restricted at the same time. If a contract is already restricted, the Locked option will be unavailable, and vice versa.


How can I tell a contract is restricted?

Administrators will see that a contract is restricted when viewing a contract:

You will also see contracts that are restricted in searches:

Further notes:

  • If a vendor has some restricted contracts and some unrestricted contracts, then the vendor will be visible to all users
  • If a vendor has all restricted contracts, then it will only be visible to admins

Restricting a contract

To restrict a contract, go to the contract profile and select Edit contract details. Then, find the checkbox to Mark as restricted. Click Save to confirm your changes.



Unrestricting a contract

To unrestrict a contract, go to the contract profile and select Edit contract details. Then, find the checkbox to Mark as restricted and deselect it. Hit Save to confirm your changes.
